This notice describes information handled by Pod Place, software for studio owners and their teams. Contact support@podplace.com with privacy questions or requests.
Accounts and sign-in
When you use email/password or Google sign-in, Google Firebase Authentication handles authentication. Pod Place uses your account identifier, email address, email verification status, and available profile name to identify your account and control access. Passwords are handled by Firebase; Pod Place does not store them in its workspace database. Existing ChatGPT sign-ins may remain available for existing accounts and linking their workspace to a new sign-in.
Studio and booking information
Pod Place stores information entered into a studio workspace, including studio details, rooms, rates, client contact details, reservations, staff invitations, permissions, session notes, and activity records. Public booking pages collect the details required to arrange a booking. Studio owners and authorized team members can access records according to their permissions. Contact the relevant studio about information you provided when booking with that studio.
Payments
Stripe processes Pod Place software subscriptions and payments for studios that connect their own Stripe accounts. Pod Place stores payment references, subscription status, and booking payment status. Card details are entered on Stripe’s checkout pages.
Recordings and optional connections
Uploaded recordings, images, transcripts, and generated content may be stored with a session. When you request transcription, episode writing, or AI thumbnails, the media, transcript, reference images, and related details needed for that feature are sent to OpenAI. Dropbox shared links are used to retrieve recordings when you choose them as a source. Share only recordings and other information you are authorized to use.
Connecting a studio’s Google account is separate from using Google to sign in. A connected studio can check its calendar for availability, create or cancel booking events, and send booking emails. The connection requests calendar and send-email access; it does not request access to read email messages. Connection credentials are stored encrypted on the server.
Service providers and browser storage
Pod Place runs on OpenAI Sites and Cloudflare infrastructure. Google Firebase, Stripe, OpenAI, Dropbox, and connected Google services process information needed for the features you use under their own terms and privacy notices. Authentication cookies and browser storage keep you signed in. Infrastructure providers may process request and security information to operate and protect their services.
Keeping and removing information
Workspace records and saved files persist so your studio can continue using them. Canceling a subscription stops future renewals; it does not automatically delete the workspace. For account or data deletion, correction, or export requests, contact support@podplace.com. Requests may require verification of your identity and the relevant studio’s authority. Provider-managed payment records, security records, and backups may be subject to separate retention requirements.
Your choices
You can log out, manage subscription renewal through the billing portal, revoke connected Google access in your Google account, and manage studio access in Pod Place. Some features require their corresponding connection. This notice may be updated as the service changes; the current version is available on this page.
